Hello friends, once again we are here with you to share some important tips in related to take the print of word documents, often it happens when we complete the writing the notes and try to take the printout of the same, it doesn’t come out in correct margin as we wanted and causes waste of so many pages. This happens due to unalignment of the documents while printing. So without any delay let’s find out how to take proper printout of MS Word documents without wasting the papers.

If you decide to print a Word document, send it by mail or fax, I recommend that you first check its appearance, especially the layout. This is the only way to achieve the perfect look of the document. And we are professionals, and that’s what they expect from us.

Consider this article a step-by-step guide to action, bookmark and re-read it periodically. The rules are very universal, their knowledge will serve you many times! None of the proposed steps is mandatory, proceed from the appropriateness in each case. The sequence can be shown schematically as follows:

What Will The Sheet Look Like When Printed?

The first thing to do is check how your document will look when printed. Maybe you don’t need to configure anything? To preview, click File — Print. A window for printing a document will open with a thumbnail of the active sheet. At the bottom of the window, arrows can be used to scroll through the sheetsopywriter.

Already in this window you can see what defects in the text need to be corrected. And if you have not seen them — read the article further, we will find what to fix. By the way, in the same preview window you can make some of the settings described below.

Set The Sheet Size in Word

The first thing to think about is what physical sheet size you will use. This is usually decided before starting work. However, it may turn out that the size of the sheet you worked with is different from the one you need.

To select the size of the sheet — follow on the ribbon Page Layout — Page Setup — Size. This will open a menu listing the most common sheet sizes. You can choose from this list.

Also, you can set the print size manually. To do this, in the menu, click Other page sizes. Here you can set arbitrary dimensions. Why is this needed? For example, you are using a receipt printer. Please: look at the width of the receipt paper roll and set the appropriate dimensions.

Choosing The Orientation of The Sheet

Usually the orientation is chosen from two options:

  1. Portrait — when the height of the sheet is greater than its width. That is, the page is positioned vertically.
  2. Landscape — the width of the sheet is greater than the height, the page is positioned horizontally

To specify the orientation for the program, find on the ribbon the command Page Layout — Page Setup — Orientation. Make your choice.

Setting up Fields

When the dimensions and orientation are selected, it’s time to specify the margins, that is, the empty space from the edge of the sheet to the text. Usually, the margins are made wider on the side where the binding is. GOSTs of different countries have different sizes of fields.

I prefer not to leave a lot of white space, so I practice 2cm for the binding and 0.5cm for the rest. If you use headers and footers, leave some space for them.To specify the margins, run the Page Layout — Page Setup — Margins command on the ribbon. Select one of the options from the drop-down menu.

You can also manually set the size of the fields. Moreover, the setting is very flexible. Click the Page Settings icon (see the figure above) to open the deep settings. Go to the Fields tab.

What do we see here? In the window that opens, you can configure:

  • Margins — set dimensions manually
  • Orientation is another way to choose sheet orientation
  • Multiple Pages is a way of arranging pages on a sheet for later printing:
  • Regular — one page on one sheet
  • Mirrored margins — set so that when printed, sheets form a spread
  • 2 Pages Per Sheet — rotates the pages 90 degrees and places 2 pages on one printed sheet
  • Brochure — rotates the pages of the page 90 degrees, arranges 2 pieces per sheet, combines margins so that when double-sided printing is a brochure. It is very convenient for printing various manuals, programs, booklets, etc.

Speaker Setup

If your document contains mostly text, you can divide it into several columns for readability. This also makes sense when printing on large formats. It’s just not convenient to read one column from a sheet of paper, for example, A1.

To divide the text into several columns — select the required passage and click on the ribbon Page Layout — Page Setup — Columns. Set the split in the menu.
